    Overview

    The CGI U Travel and Logistics Coordinator is primarily responsible for the hotel and travel program for all applicable CGI U constituencies, including CGI U students, speakers, and staff.

     

    While the primary focus of this role is limited to travel planning and logistics for CGI U participants, this position must become familiar with the broader operations of CGI U as both an organization and an event, and be willing to help out on miscellaneous projects should they arise.

    Responsibilities

    1. Manage the hotel and travel program for CGI U
    2. Research and conduct outreach to potential hotel and transportation vendors for the overall event, and provide on-site management of all hotel and travel arrangements provided by CGI U
    3. Monitor hotel blocks by hosting regular conference calls with the hotel and provide weekly pick-up reports and analysis as events near hotel block deadlines
    4. Coordinate travel and lodging arrangements for select student attendees, program participants and staff, including pre-meeting travel or off-site events
    5. Develop and maintain travel assistance work plans, which includes booking timelines, budget tracking and record keeping process
    6. Draft all associated travel and lodging text for printed materials, web updates and email reminders
    7. Serve as the ongoing point of contact for all external inquiries regarding travel and budget in the lead-up to the event. 
    8. Serve as the primary point of contact regarding travel logistics onsite, troubleshooting any issues during peak travel dates and times. 
    9. Provide ongoing tracking and travel budget updates to relevant supervisors.
    10. Contribute to overall strategy and long-term planning processes for CGI U.
    11. As required or requested by Clinton Foundation.

    Qualifications

    1. Education (Minimum Needed and Type of Degree Needed): Bachelor’s degree required
    2. Work Experience (Minimum Needed): 2-3 years
    3. Specialized Knowledge Needed for Performance of Job: Event planning and execution experience is preferred but not required; experience managing travel logistics required.
    4. Skills (e.g. Level of Judgment Required, Ability to Direct, Work Independently, Multi-Task, etc.): Ability to multi-task, strong organizational and follow-through skills, high level of professionalism, excellent oral and written communication skills, effective external communication skills, ability to maintain composure under high pressure situations, highly detailed-oriented.
    5. Special Skills (e.g. Technical, Advanced): Strong knowledge of Excel required; knowledge of BBCRM, or other relevant relational data bases preferred.
    6. Other (Communication Skills, Mechanical Aptitude, Math Skills, Learning Skills, or Other Specific Skills Required): 
    7. Foreign language skills a plus but not required.

    1. CGI U is a collaborative, fast-paced, and deadline-oriented environment that requires multi-tasking, acting with a sense of urgency and detailed coordination with other departments.
